2025 National Bike Summit Session Formats

The 2025 National Bike Summit will take place in-person in Washington, D.C. from Tuesday, March 11, through Thursday, March 13, 2025. The Summit will begin on Tuesday, March 11, with workshops and breakout sessions, an opening plenary and keynote, and an evening awards reception. Lobby Day will take place on Wednesday, March 12, with alternative content available for attendees who are unable to lobby. Conference sessions will resume on the morning of Thursday, March 13, with additional mobile workshops, breakout sessions, and plenary speakers.

Session Format Options

In-person Summit sessions may include longer mobile or classroom workshops, single presentations, posters, or full panels/sessions with multiple speakers. See below for more details about each format option. 

On-Site Workshops & Breakout Sessions 
You may propose a single presentation that could be combined with other speakers to form a full panel or session, or a full hour-long breakout session or panel that is already organized. Longer form workshops up to two hours may also be considered on a case-by-case basis. If you are proposing a session that is an hour or longer, you will be asked to provide a rough agenda or outline of the proposed session structure.

Mobile Workshops
A Mobile Workshop should bring participants to or through an off-site route or destination, and will last approximately 2-2.5 hours. Mobile Workshops can travel by walking, biking, transit, micro-mobility, or other modes. 

If proposing a Mobile Workshop, you will be asked to provide an outline of the workshop and the route and travel mode participants will experience. 

  • Note: The 2025 National Bike Summit is taking place at the Martin Luther King Jr. Memorial Library. Preference will be given to sessions that provide on-bike experiences that start and/or end near the MLK Library.

Posters

The 2025 National Bike Summit will have several specific time periods when poster presenters are expected to stand by their posters in order to provide context and interact with other attendees. However, posters will be displayed throughout the Summit and presenters should plan and design their poster with the expectation that most people will interact with it without the presenter’s presence. Poster printing dimensions and other logistical considerations will be shared with Poster Presenters upon acceptance.

Tips for Collaboration
Every Summit, many session proposals are combined with other proposals of similar topics or themes. We encourage you to consider collaborating with others across the country to develop multi-speaker sessions. It is preferred that all Summit presenters attend and present in-person. You may find our bicycle advocates google group a helpful forum for identifying and collaborating with others interested in your topic. If you do not have access to that group, you can join by signing up here.

The online online system allows multiple users to collaborate on an RFP together. There is a “manage collaborators” button at the top of the online form where proposal submitters can manage who has access to the form and allow for more than one person to fill out answers. If you are collaborating on a proposal, we encourage you to add collaborators to your form and to also list all additional speakers on the "Contact & Demographic Information" page.
